Terms of Service

1. Acceptance of terms

By creating an account or using Phlox, a school and its authorized users agree to be bound by these Terms of Service and our Privacy Policy.

2. Description of service

Phlox provides school management software covering admissions, fees, results, attendance, timetabling, and communication for private schools, along with associated portals for teachers and parents.

3. Accounts and eligibility

Schools are responsible for maintaining the confidentiality of staff login credentials and for all activity under their account. Schools must ensure that any staff, parent, or student users are authorized to access the information made available to them.

4. Subscription and payment

Access to Phlox is provided on a subscription basis at the rates published at phlox.ng/pricing. Payments are processed through Paystack. Subscriptions renew automatically unless cancelled prior to the renewal date. Fees paid are generally non-refundable except as required by law or expressly stated otherwise.

5. Acceptable use

Schools and their users agree not to:

• Use Phlox to store or transmit unlawful content
• Attempt to access data belonging to another school
• Interfere with the security or operation of the platform
• Misrepresent student, staff, or fee records

6. Data and content ownership

Schools retain ownership of all student, staff, and fee data entered into Phlox. Phlox is granted a limited license to process this data solely to provide the service. Schools may export their data at any time during an active subscription.

7. Termination

Either party may terminate the subscription in accordance with the applicable notice period. Upon termination, we will make school data available for export for a reasonable period before deletion, unless a longer retention period is legally required.

8. Limitation of liability

To the extent permitted by law, Phlox is provided “as is” without warranties of any kind, and our liability for any claim relating to the service is limited to the fees paid by the school in the twelve months preceding the claim.

9. Governing law

These Terms are governed by the laws of the Federal Republic of Nigeria.

10. Changes to these terms

We may update these Terms from time to time. Continued use of Phlox after changes take effect constitutes acceptance of the updated Terms.
